Atreya Associates maintains transparent and fair payment policies for all our services. This Payment Policy outlines the terms and conditions related to payments, invoicing, and financial transactions for our staffing solutions, payroll management, BPO services, and project solutions.
Payment Terms
Our standard payment terms are as follows:
- Invoice Period: Invoices are typically generated on a monthly basis or as specified in the service agreement.
- Payment Due Date: Payment is due within 30 days from the invoice date unless otherwise agreed upon in writing.
- Currency: All invoices are issued in Indian Rupees (INR) unless otherwise specified.
- Service-Specific Terms: Certain services may have customized payment schedules as outlined in individual contracts.
Accepted Payment Methods
We accept the following payment methods:
- Bank Transfer: Direct bank transfer to our designated account (preferred method for corporate clients)
- Cheque: Company cheques payable to "Atreya Associates"
- Online Payment: Payment through secure online banking portals
- NEFT/RTGS/IMPS: Electronic fund transfers
- UPI: For smaller transactions (subject to limits)
Advance Payment
For certain services, we may require advance payment:
- New Clients: First-time clients may be required to pay 50% advance before service commencement.
- Project-Based Services: Project solutions may require milestone-based advance payments as outlined in the project agreement.
- Recruitment Services: An advance fee may be charged for specialized or executive search assignments.
Invoicing
Our invoicing process includes:
- Invoice Details: All invoices include detailed breakdowns of services, quantities, rates, and applicable taxes.
- GST Compliance: All invoices are GST-compliant and include the applicable GST rates and our GSTIN.
- Electronic Invoices: Invoices are sent via email to the designated billing contact.
- Invoice Queries: Any queries regarding invoices should be raised within 7 days of receipt.
Late Payment
In case of delayed payments:
- Grace Period: A grace period of 7 days beyond the due date is provided without penalty.
- Late Fees: Late payment interest of 1.5% per month (or part thereof) may be charged on overdue amounts.
- Service Suspension: We reserve the right to suspend services if payment is overdue by more than 45 days.
- Collection Costs: Clients are responsible for any costs incurred in collecting overdue payments.
Pricing and Fee Structure
Our fees are structured based on the following:
- Staffing Solutions: Fees are typically a percentage of the candidate's annual salary or a fixed fee per placement.
- Payroll Management: Charged as a percentage of total payroll processed or a per-employee fee.
- BPO Services: Based on full-time equivalent (FTE) rates or hourly rates depending on the engagement.
- Project Solutions: Fixed project fees or time and material basis as agreed in the Statement of Work.
- Volume Discounts: Available for long-term contracts and high-volume requirements.
Taxes and Statutory Compliance
All fees are exclusive of applicable taxes unless otherwise stated. Goods and Services Tax (GST) and any other applicable statutory charges will be added to invoices as per prevailing government regulations. Clients are responsible for any withholding taxes or TDS as per applicable laws.
Payment Disputes
If you dispute any charges on an invoice, please notify us in writing within 7 days of receiving the invoice. We will investigate the matter and respond within 15 business days. Undisputed portions of invoices should be paid as per the normal payment terms.
Changes to Fees
We reserve the right to modify our fees and payment terms with 30 days' written notice. Existing contracts will continue under their original terms unless mutually agreed to be amended.
